Cancellation Policy
CANCELLATION POLICY
The following cancellation terms apply to all services booked with Fluxology, unless otherwise agreed in writing or specified in the relevant quotation or agreement.
Cancellation by the Client
Fluxology reserves the right to apply the cancellation fees set out below when the full or partial cancellation of the services is initiated by the Client.
Staffing Services
In the event of a full or partial cancellation of staffing services, the following cancellation fees may apply:
- More than 30 calendar days before the service date: no cancellation fee, except for any non-refundable costs or commitments already incurred by Fluxology.
- Between 15 and 30 calendar days before the service date: 25% of the total value of the cancelled services.
- Between 8 and 14 calendar days before the service date: 50% of the total value of the cancelled services.
- Between 3 and 7 calendar days before the service date: 75% of the total value of the cancelled services.
- Less than 72 hours before the service date or in case of a no-show: 100% of the total value of the cancelled services.
Transportation Services – Shuttles, Minibuses and Buses
In the event of a full or partial cancellation of transportation services or reserved vehicles, the following cancellation fees may apply:
- More than 2 months before the service date: no cancellation fee, except for any non-refundable costs or commitments already incurred.
- 2 months before the service date: 15% of the total value of the cancelled services.
- Between 1 and 2 months before the service date: 30% of the total value of the cancelled services.
- Between 2 weeks and 1 month before the service date: 60% of the total value of the cancelled services.
- Less than 2 weeks before the service date: 100% of the total value of the cancelled services.
All cancellation periods are calculated based on the scheduled starting date and time of the services.
Third-Party and Non-Refundable Costs
Any costs already incurred or committed to third parties — including, but not limited to, vehicle rentals, transport operators, parking reservations, permits, equipment rentals, accommodation, or other external suppliers — will remain fully payable by the Client, regardless of the cancellation date.
Where third-party suppliers apply stricter cancellation conditions, their specific terms may apply to the corresponding part of the services.
Changes and Reductions
Significant reductions in the scope of confirmed services, including reductions in staffing, vehicles, operating hours, equipment, or other resources, may be considered a partial cancellation and may therefore be subject to the cancellation fees outlined above.
Fluxology will always make reasonable efforts to accommodate changes and minimise cancellation costs whenever possible.
Force Majeure
Neither party shall be held liable for failure to perform its obligations due to circumstances beyond its reasonable control, including but not limited to natural disasters, severe weather conditions, government restrictions, strikes, public emergencies, or other events of force majeure.
Any costs already incurred or non-refundable commitments made before the occurrence of the force majeure event shall remain payable by the Client.
Cancellation by Fluxology
In the unlikely event that Fluxology is unable to provide the confirmed services for reasons attributable to Fluxology, the Client will not be charged for the services that cannot be delivered. Fluxology will, whenever reasonably possible, endeavour to propose a suitable alternative solution.
Written Notice
All cancellations or significant changes must be communicated in writing by email. The effective cancellation date will be the date on which Fluxology receives the written notification.
